Deposits & holds
A deposit is a pre-authorization hold, not a charge. It reserves funds on the renter’s card, but nothing is captured unless the renter owes you. Holds are placed no earlier than 24 hours before scheduled pickup.
Automatically, on a clean return inspection — release is gated on the inspection, not a timer. Funds clear within a few business days depending on the renter’s bank, less any itemized deductions.
Documented damage, fuel, mileage overage, cleaning, tolls and citations, and late or recovery fees. Deductions come from the deposit first, always with an itemized statement. Charges beyond the hold can bill the card on file.
The hold tier keys on expected hold duration — authorization through return plus an inspection buffer — not rental length. Long windows use a scheduled release-and-re-authorize cycle that stays within card-network limits.
A nightly job re-verifies every hold. A voided or expired hold sends the booking back to verification. A mid-rental decline triggers retries with backoff, notifies you and the renter, blocks extensions, and starts the recovery workflow.
Verification gates
The car cannot leave until every check passes. Key or keyless handoff is impossible until identity, license, insurance, deposit, the signed agreement, and the pickup inspection all clear. The software enforces it over tamper-evident evidence records — there is no manual override.
Five: insurance verified, identity and license verified, agreement signed, deposit held, and the pickup inspection done. The vehicle releases only when every enabled check has a current, non-expired pass.
Through Stripe Identity: document authenticity, expiration, minimum age, and a selfie match to the ID. Most decisions land in 5–10 seconds. We verify the document is real and matches the person — a DMV cross-check is on the roadmap, not a launch feature.
Through Canopy Connect, usually in seconds. It confirms active coverage dates, comprehensive and collision above your threshold, and a driver match. If a carrier isn’t supported, the renter uploads their declaration page for manual review.
No. There is no override switch on any screen. Release is computed only from passing evidence records, and expired evidence — a stale insurance pull, a voided hold, an expired ID — automatically sends the booking back to verification.
No. Rentavoq provides the verification tooling; you set the eligibility criteria and make the final call. Verification results are advisory, not a guarantee.
The renter uploads their policy declaration page, which lands in your review queue. Approving writes a manual insurance pass with an expiry date. Rejecting sends the renter back with re-upload instructions.
Claims & damage
A return inspection that shows damage lets you open a claim pre-filled with the vehicle, rental, renter, damage map, and photos. You add an estimate and expenses, capture from the deposit, and notify the renter with an itemized breakdown and a dispute window. Subrogation filing is on the roadmap.
It compares pickup and return photos to flag new damage. Findings are advisory only — a human confirms before any charge, and disputed findings always get human review.
The deposit is applied first. Any overage beyond the hold charges the card on file with disclosure, or is invoiced, and every capture reconciles against the original hold.
The dispute freezes any capture beyond the hold and opens a case. The renter gets the itemized breakdown; you respond within your stated window using the pickup baseline, the AI comparison, and telematics data.
Subject to primary insurance, any protection product, and Indiana law: repair cost, actual cash value less salvage on total loss or theft, loss of use, diminished value, and towing, storage, and admin fees — capped at the renter’s liability limit where a protection product was elected.
Yes. Every claim state change writes an append-only, immutable audit entry — photos, AI output, captures, communications — and claim records are retained for at least two years.
GPS & telematics
Bouncie devices — you buy the hardware at a discount through Rentavoq, and it’s integrated in-app. It reports GPS location, routes and geofence events, speed and harsh-driving events, odometer and mileage, trip and ignition status, fuel or EV charge, diagnostics, and tamper events.
Yes — telematics is a soft requirement. A vehicle can list without a device, but that car loses live GPS and keyless features.
Not through Bouncie — it’s telemetry only. Keyless remote unlock via Smartcar or Invers is on the roadmap, and it will never bypass the verification checks.
You do — the operator provides the notices and collects any consents the law requires. The renter e-signs the GPS and telematics consent at booking, so nothing is hidden.
Yes. Location data supports recovery of overdue, stolen, or prohibited-use vehicles, plus geofence enforcement and mileage and toll reconciliation.
Storefront websites
Yes — a branded storefront at yourbrand.rentavoq.store with SSL, where renters browse, reserve, and pay. Comparable agency builds run $3,000–$10,000; yours is included.
At launch: your logo and an accent color on a single template. Full theming — palette, type, policy text — is next on the roadmap. Accessibility contrast guardrails apply even under your branding.
Browse and book, then use a self-service portal to view and modify bookings, pay balances, upload documents, request extensions, and check their verification status.
Data & security
Yes. Postgres row-level security filters every tenant query below the application layer, so even an application bug can’t leak another operator’s rows. An automated isolation test fails the build on any leak, and storefront and operator sessions never share.
You do. If you leave, you get a 30-day window to export your data in a commercially reasonable format before deletion.
No — you are the business and controller. Rentavoq acts as your service provider and processor under the Data Processing Addendum.
Cancellation
Yes. Subscriptions renew automatically unless your order form says otherwise. Either side can decline renewal with 30 days’ notice, and either can terminate for an uncured material breach. Your data-export window applies either way.
